What is Whatfix?

Whatfix is a digital adoption platform (DAP) used by companies like Cisco, Microsoft, and Shell (to name a few) to deliver onboarding experiences and support digital transformation projects.

Features

Whatfix offers all the features you’d expect from DAP:

  • Checklists (Task Lists) and walkthroughs (Flows) for guided user onboarding.
  • Smart tips, Pop-ups, and Beacons for contextual in-app guidance and announcements.
  • Users can access the multi-format knowledge base from any place in the app through Launchers.
  • Event-based triggering and user segmentation for targeted engagement.
  • User surveys for in-app feedback collection.
  • Robust onboarding and product analytics (User journeys, Funnels, Trends, Cohort analysis, custom dashboards, auto-capture).
  • Integrations with e-learning platforms to support comprehensive customer and employee training.
  • Sandbox environments (called Mirror) for safe, practical software training.

Whatfix works on desktop, web, and mobile. You can use it on your app or 3rd party tools, which makes it suitable for employee onboarding, for example, when implementing a new software solution.

Pricing

Whatfix pricing isn’t available on their website. You need to book the demo or contact their sales team for details.

The price consists of the fixed monthly fee (plan dependent) and seat licenses (for employee-facing apps) or MAUs (for customer-facing apps).

Users describe Whatfix as “rather pricey;” the lowest reported price I’ve seen was $1000/month.

Limitations: why you might consider an alternative

  • Pricing. The product may not be affordable for small businesses.
  • Customers mention that Whatfix implementation is complex and the product comes with a steep learning curve.
  • Focus on employee onboarding. There are cheaper and more intuitive solutions if you need a customer onboarding product.

Best Whatfix alternatives

I’ve chosen eight onboarding and adoption SaaS tools that might work better for you than Whatfix.

What should you consider when choosing a Whatfix alternative?

Answer these questions:

  • Do you need a user onboarding or an employee onboarding tool?
  • Do you need support for mobile, web, or desktop apps?
  • Will you train your employees on your platform or 3rd party tools?
  • What features do you need? (onboarding, analytics, surveys)
  • Does it integrate with other tools in your tech stack?
  • Do you have the resources to support its implementation?
  • Does it fit your budget? Will it still be affordable when your needs grow?

1. Product Fruits

Product Fruits is a better Whatfix alternative when you need an intuitive, budget-friendly, no-code user onboarding platform.

Product Fruits features include:

Pricing

Product Fruits offers three pricing tiers:

  • Core – from $79/month
  • Boost – from $139/month
  • Enterprise – custom pricing

The above prices are for 1,500 MAUs, increasing to $269 and $339 respectively for 10,000 MAUs.

How is Product Fruits better than Whatfix

  • Product Fruits is more affordable than Whatfix.
  • It’s easier to implement even for non-technical users.
  • Its more intuitive UX flattens the learning curve.

Limitations

  • Currently, Product Fruits analytics is limited to onboarding flows and surveys. However, the software integrates with analytics tools, and AI-powered product analytics are in the pipeline.
  • It doesn’t run on 3rd party apps, so you can’t use it to support other software implementations.
  • It doesn’t support desktop apps.

2. Appcues

Appcues is a better Whatfix alternative if you want to create multichannel onboarding experiences for mobile or web apps and already have a standalone analytics tool.

It offers all the standard onboarding features, including:

  • In-app messaging (tooltips, pop-ups, banners, etc.).
  • Product tours and checklists.
  • Email and push messaging.
  • Onboarding analytics, no-code in-app event tracking, and user segmentation.
  • In-app surveys.
  • Event-based triggering.
  • Flow A/B testing.

Pricing

Appcues has a more transparent pricing than Whatfix.

There are three plans:

  • Start – from $250/month
  • Grow – from $1000/month
  • Enterprise – custom pricing.

The prices are for 1,000 MAUs. For 10,000 MAUs, the prices increase to $870 and $1350, respectively.

In addition to the MAU count, monthly messages, published experiences, and workflows, user segments, tracked events, and team members are limited.

Overall, Appcues feels expensive for what you get.

How Appcues is better than Whatfix

  • Despite its mid-market pricing, it’s still more affordable than Whatfix (but more expensive than other tools with similar or better features)
  • It enables multichannel user engagement (email, push notifications), not just in-app messaging.
  • It has a more user-friendly interface.

Limitations

  • Appcues analytics allow you to analyze how users interact only with your onboarding flows. You need integrations with analytics tools to analyze user behavior inside the product.
  • It doesn’t run on 3rd party software, so it’s of limited use for employee onboarding.
  • It doesn’t work on desktop apps.

3. Userflow

Userflow is a better Whatfix alternative for in-app customer onboarding only.

Its main features include:

  • In-app messaging (tooltips, pop-ups, banners, hotspots, announcements).
  • Onboarding checklists and product tour features.
  • Surveys (including NPS).
  • Flow and checklist analytics.
  • No-code event tracking (including custom events).
  • Segmentation for personalized targeting.
  • A resource center and AI-powered user assistant for on-demand customer support.

Pricing

Like many other tools, Userflow has three pricing plans:

  • Startup – from $240/month for 3000 MAUs
  • Pro – from $680 for 10,000 MAUs
  • Enterprise – custom pricing

How Userflow is better than Whatfix

  • Userflow is a more affordable user onboarding solution (and other mid-market tools)

Limitations

  • No product analytics, so you need another tool.
  • No support for 3rd party apps, so you can’t use it for other software implementation or employee onboarding.
  • It’s not necessarily the most competitive pricing for what you get.
  • Non-technical users find it complex and difficult to navigate.

4. Chameleon

Chameleon is a better Whatfix alternative if you need a user onboarding platform and value high in-app flow customization and personalization.

Its features include:

  • Onboarding tours
  • In-app messaging (Beacons, Labels, Popups, etc.).
  • Embeddables (cards and banners for contextual support).
  • AI writing assistant in the flow Builder.
  • HelpBar for self-serve support.
  • Microsurveys (CSAT, NPS, CES, etc.).
  • User segmentation and environments for advanced personalization.
  • Experience analytics and (retrospective) event tracking.
  • A/B testing

Pricing

Chameleon offers three three pricing tiers:

  • Startup – from $354/month
  • Growth – from $1500/month
  • Enterprise – custom

The prices are for up to 2000 MAUs. For 10,000 MAUs, the plans would cost $1704 and $1850.

How Chameleon is better than Whatfix

  • Chameleon offers better in-app pattern customization options.
  • Despite the fairly high price tag, it’s more affordable than Whatfix.

Limitations

  • Limited user behavior tracking, so you need to integrate it with standalone analytics tools.
  • No support for mobile or desktop apps.
  • It isn’t suitable for employee onboarding or 3rd party software implementation.

5. Userpilot

Userpilot is a better Whatfix alternative when you need a more competitively priced all-in-one adoption platform for customer-facing apps.

Key Userpilot features include:

  • In-app patterns (pop-up modals, tooltips, banners, hotspots, slideouts).
  • Interactive walkthroughs and checklists.
  • AI writing assistant.
  • In-app surveys and analytics (including NPS).
  • User behavior analytics (Funnels, Paths, Trends, Retention, heatmaps, session replays, auto capture).
  • A/B and multivariate testing.
  • Resource center.

Pricing

Userpilot has three pricing plans:

  • Starter – from $249/month
  • Growth – from $799/month
  • Enterprise – custom

The advanced analytics features and the resource center are only available for Growth and Enterprise customers, which may not work for smaller businesses.

How Userpilot is better than Whatfix

  • Userpilot is easier to implement and more intuitive to use for non-technical users.
  • It offers more advanced analytics functionalities (e.g., heatmaps and session recordings).
  • It’s more affordable.

Limitations:

  • It isn’t suitable for employee onboarding as it doesn’t run on 3rd party apps.
  • No mobile or desktop support.

6. Pendo

Pendo is a better Whatfix alternative if you need a DAP with comprehensive analytics features.

  • In-app guides (web and mobile).
  • Product tours and checklists.
  • AI guide creation and AI writing assistant.
  • State-of-the-art product analytics (Funnels, trends, cross-app user journey tracking, AI-powered insights, retroactive event tracking, session replays).
  • Customer feedback tools (in-app surveys, feedback widget).
  • A/B testing.
  • Resource center for self-serve support.

Pendo is suitable for user and employee training and change management.

Pricing

Pendo has four pricing tiers, all of which come with custom pricing.

The quotes users report range from $2000 a quarter to $30,000 a month, so there are significant variations. However, it’s safe to say its pricing is at least as high as Whatfix’s.

How Pendo is better than Whatfix:

  • Pendo offers the most comprehensive analytics features of all the DAPs in the roundup.
  • Road mapping and prioritization tools make it more suitable for SaaS product teams.

Limitations:

  • The price.
  • Limited survey and customization options.

7. Usetiful

Usetiful is the best Whatfix alternative if you need a budget-friendly onboarding solution that works on 3rd party apps.

  • User onboarding flows (Checklists and Tours)
  • In-app messaging (Banners, Pop-ups)
  • Smart tips and event-based triggering for contextual guidance
  • Surveys, including NPS.
  • Product tour and user feedback analytics
  • User segmentation for personalized engagement
  • Help center portal with a chat assistant
  • A/B testing

Usetiful works on mobile and web apps and doesn’t require code installation, so you can overlay the flows on other apps. This makes it more suitable for employee training and digital change management.

Pricing

Usetiful is the most affordable of the tools in this roundup.

There are four plans, including a free one.

The paid plans are:

  • Plus – from €29 / month
  • Premium – from €69 / month
  • Enterprise

Here’s the catch:

the above pricing is based not on MAUs but on “assists.” So you only get charged when the user actively engages with a Usetiful element, like a tour. This makes it difficult to estimate your costs.

You can switch to MAU-based pricing. It costs €49 and €69 a month for 1,500 MAUs

How Usetiful is better than Whatfix

  • Super affordable compared to other tools in the round-up.
  • Users value it for its intuitive UX design and excellent support.

Limitations

  • Basic in-app patterns for onboarding.
  • No product analytics and very limited in-app experience analytics.
  • No desktop support.

8. WalkMe

WalkMe is a better Whatfix alternative for employee onboarding and 3rd party software implementation.

  • Contextual in-app guidance (tooltips, pop-ups, banners, etc).
  • Onboarding checklists and tours.
  • In-app surveys.
  • User journey analytics (funnels, paths, session playbacks).
  • Guidance analytics.
  • ActionBot (AI chatbot streamlining tasks and processes).
  • Resource center for on-demand support.
  • Support for web, mobile, and desktop apps.

Pricing

WalkMe, just like Whatfix, has custom pricing.

There are two main plans: WalkMe for employees and WalkMe for customers.

Some of the features in the employee plan, like retroactive analytics, are available as add-ons.

WalkMe pricing

How it’s better

  • More advanced 3rd party app management features (usage monitoring, license management, workflow analytics, shadow IT monitoring) make it a better tool for digital transformation projects.

Limitations

  • You must decide if you need an employee or user onboarding app, as not all features are available in both plans.
  • Less advanced product analytics.
  • Lack of support for e-learning tools.

How much can you trust this overview?

You may be wondering if the overview is objective enough to trust.

Well, I did my best, but I’m biased. This is a Product Fruits article, after all. And I don’t know the other tools well enough.

If I were you, I’d narrow down your selection to tools that:

  • Match your use cases.
  • Have the necessary features (check what exactly is included in each plan).
  • Suit your budget.

Next, I’d sign up for free trials if available or book demos.

If Product Fruits is one of your short-listed tools, sign up for the trial and book the demo now!
